PPE procurement is only complete when the paperwork is in order. During an inspection, after an accident or in a customer audit, the question is not simply what you bought, but what you can demonstrate. The required documents form a manageable set, but missing records are much harder to recover later than to request with the order. This guide explains what to obtain from the supplier, what to create internally and how to retain it.

- Every item of PPE should have an EU declaration of conformity and instructions in the language required in the country of use. For use in Hungary, Hungarian-language instructions are required.

📄 Documents to obtain from the supplier
PPE placed on the EU market under Regulation (EU) 2016/425 comes with documentation. This is part of the product, not an optional courtesy:
- EU declaration of conformity: the manufacturer's declaration that the product meets the Regulation and cited standards. Check that it covers the precise model and that the standard editions satisfy the specification.
- User and maintenance instructions in the required local language: in Hungary, Hungarian-language instructions are necessary for lawful issue and provide the basis for user training.
- Product data sheet: performance levels, EN codes, sizes and materials. This helps prove that the specification and delivered item match.
- For Category II and III PPE: retain the EU type-examination certificate details, including the notified body and certificate number, in a searchable form.

- PPE issue policy: records the equipment assigned to each role and the conditions or frequency of issue. Under Hungarian occupational safety law this is a written employer responsibility.
- Issue records: who received which type and size, and when.
- Training records: confirmation that the employee was instructed in correct use, fitting, limitations and care, based on the manufacturer's instructions.
- Replacement and disposal log: when and why equipment was removed from service. This demonstrates that defects were identified and managed.
🔁 Periodic examinations: where documentation gaps often arise
Some product groups have a documented life cycle rather than a simple “purchase and use” model:
- Fall-protection equipment such as harnesses, lanyards and fall arresters requires a pre-use check and periodic examination by a competent person at intervals set by the manufacturer and applicable rules. We provide documented fall-protection inspections.

What happens if the declaration of conformity is missing?
During an inspection or audit, conformity of an undocumented item cannot be demonstrated. Following an accident, that gap may also be significant when employer controls are reviewed. A replacement can be requested from the manufacturer or distributor; documents for products purchased from us can also be retrieved later.
Can documents be stored in email?
The format is flexible, but retrieval must be reliable. A good system lets you find the declaration, issue record and training evidence for a particular employee and item within minutes. A consistently named folder or attachments in an enterprise system can both work.
Must actual use be documented as well?
