Periodic inspection of fall-protection equipment: a practical guide

How harnesses, lanyards and fall arresters are inspected under EN 365, when equipment must be withdrawn, and how to organise a mixed-fleet inspection efficiently.

Fall-protection equipment can deteriorate without an obvious external event: ultraviolet exposure, abrasion, contamination and unnoticed loading all matter. A missed periodic inspection can make equipment unavailable for use, while its inspection record will be central to any audit or incident investigation. This guide explains the EN 365 framework, what a competent examiner checks and how to organise a mixed fleet without avoidable downtime.

The essentials in thirty seconds

  • Periodic examination must follow the manufacturer’s instructions and EN 365 framework, by a competent person and with records; the interval is commonly no more than 12 months and may need to be shorter.
  • Equipment that has arrested a fall must be withdrawn immediately and dealt with under the manufacturer’s instructions, even when it looks intact.
  • Manufacturer-specific competence can be required. Our colleagues hold the relevant qualifications for the brands we distribute, allowing a mixed fleet to be handled in one programme.
  • With two workshops in Szeged and Budapest plus transport arrangements, we serve customers throughout Hungary, backed by 33 years of professional experience.
  • Where an item fails, common replacements can be supplied promptly from stock to reduce downtime.

📜 What does the framework require?

Personal fall-protection equipment is Category III PPE under EU Regulation 2016/425. EN 365 and manufacturer instructions support three layers of control:

  • Pre-use check: the wearer checks webbing, stitching, connectors and function each time the equipment is used.
  • Periodic examination: at the interval stated by the manufacturer, commonly at least every 12 months, by a competent person and with a written record. Heavy use or aggressive conditions — chemicals, salt or welding spatter, for example — may justify a shorter interval.
  • Exceptional examination or withdrawal: after an arrested fall, suspected damage or another event that could affect safety, isolate the equipment immediately and follow the manufacturer’s procedure.

The result must remain traceable to the individual item: identification or serial number, manufacture information, condition, decision and next due date. This evidence protects both the worker and employer during an audit or investigation. Our PPE documentation guide covers the wider file.

Pre-use checks, periodic examination and event-led withdrawal work together; none replaces another.

🔍 What does the examiner inspect?

  • Webbing and rope: cuts, abrasion, pulled fibres, UV fading, heat or chemical damage and deformation.
  • Stitching: broken, loosened or abraded load-bearing seams.
  • Metal components: connector closure and locking, buckle function, corrosion, cracks and wear on load-bearing surfaces.
  • Energy absorbers: intact cover and deployment indicators; a deployed absorber is withdrawn.
  • Retractable fall arresters: retraction and locking tests, plus the full length of cable or webbing.
  • Identification: a legible label, serial or individual identity and manufacture information. An unidentifiable item cannot support a traceable examination.
  • Service life: the manufacturer’s maximum life. A periodic examination cannot extend a stated age limit.

🤝 Why companies bring us the complete fleet

Manufacturers may set competence or authorisation requirements for examining their products. A provider familiar with only one or two makes may be unable to complete a mixed fleet, creating several shipments, records and periods of downtime.

Our colleagues hold the relevant qualifications for the manufacturers we distribute, so harnesses, lanyards, energy absorbers and retractable fall arresters can be handled in one planned programme. The service includes:

  • 33 years of workplace safety experience; examination is a core professional service, not an add-on.
  • Two workshops and national coverage within Hungary: equipment can be delivered to Szeged or Budapest, or transport can be arranged.
  • Reduced downtime: where common failed items require replacement, stock can often be supplied without waiting for a separate procurement cycle.
  • Direct manufacturer relationships: supporting efficient replacement of Category III equipment.
  • Complete records: an itemised report and register with the next due date.

Submit the types and quantities through our fall-protection inspection service. We agree the timing and transport, then return one coherent report package.

🧭 Our process, step by step

  1. Enquiry: provide the item list and quantities through the inspection service page.
  2. Delivery or collection: bring the equipment to a workshop or agree transport from elsewhere in Hungary.
  3. Examination: the equipment is checked under the manufacturer’s instructions by appropriately competent colleagues.
  4. Report and replacement proposal: passed items are recorded; failed items receive a clear withdrawal decision and, where requested, a replacement option.
  5. Return: the fleet and documentation are returned together, with future due dates recorded.

❓ Frequently asked questions

How often is periodic examination required?

Follow the manufacturer’s stated interval. It is commonly no more than 12 months, alongside a check before every use and immediate withdrawal after an arrested fall or suspected damage. Heavy or aggressive service may require shorter intervals.

Who may carry it out?

A competent person meeting the manufacturer’s requirements. Some manufacturers require product-specific training or authorisation. Confirm that the examiner can legitimately cover every make and type in the fleet.

What happens when an item fails?

The item is recorded as failed and withdrawn from use. We can provide a replacement proposal, with frequently used models often available from stock.

Can you serve a company at the other end of Hungary?

Yes. Two workshops and planned transport allow equipment to move through one coordinated programme. For sites outside Hungary, contact us first so logistics and the applicable national requirements can be assessed.

How long can a harness or lanyard be used?

Only within the manufacturer’s stated service life and while it remains in acceptable condition. Textile products commonly have an age limit measured from manufacture, which inspection does not extend. The register should show which items approach their limit in the next period.

Final thought

Fall-protection equipment may hold a life; periodic examination establishes whether it remains ready to do so. A well-planned annual programme is a safety control, not a paperwork exercise.

Request a fleet inspection through our fall-protection service page, or prepare a replacement enquiry. For implementation, see our PPE training guide.
